When and how can I register for accommodation for the 2020-2021 academic year?

University of Groningen

Full degree students (bachelor/master)
Full degree bachelor and master students of the University of Groningen will be able to register for our Short Stay accommodation from the morning of the 6th of May onwards (around 9 AM). Please make sure to select “Admissions Office Bachelor/Master” as your department/faculty to ensure a smooth registration process. On the 11th of May, from 9 AM onwards, it will become possible to actually book a room. That means that in the period in between you have time to get approved by the university and consult the information for the individual rooms that will be available to you after registration. Please keep in mind that after registration you will only see the available rooms for you specifically. Rooms with different attributes (student type, rental period etc.) will not be visible anymore since you will not be eligible for booking them.

Exchange students
Exchange students who will study at the University of Groningen will be able to register from the morning of the 6th of May onwards (around 9 AM). On the 11th of May, at 9 AM, it will become possible to actually book a room. That means that in between these dates you have time to get approved by your university and consult the information of the rooms that will be available to you. As an exchange student it is important to select the correct department/faculty that you will attend during your exchange. Please keep in mind that after registration you will only see the available rooms for you specifically. Rooms with different attributes (student type, rental period etc.) will not be visible anymore since you will not be eligible for booking them.

Hanze University of Applied Sciences

Exchange and full degree bachelor and master students of the Hanze University will be able to register from the morning of the 28th of April onwards (from around 9 AM). The Hanze University will approve students on the 4th of May at the earliest, depending on their student type (see overview below). That means that in between these dates you have time to consult the information of the rooms that will be available to you. Please keep in mind that after registration you will only see the available rooms for you specifically. Rooms with different attributes (student type, rental period etc.) will not be visible anymore since you will not be eligible for booking them. After you have been approved, you will be able to book a room right away. You will receive a notice from our system via e-mail as soon as your registration has been approved.

Approval dates Hanze University (for registrations on and after these dates):

  • 4th of May: all Non-EU students (both full degree (bachelor, master) and exchange students)
  • 25th of May: all EU Exchange students
  • 8th of June: all other students

Arrival moments during the Summer

The starting date of your contract is decided by your university and therefore depends on your university and student type. During the registration process you will be able to select your preferred rental period and with that a starting date. We expect you to arrive on the starting date of your contract, but can understand it might be more convenient to arrive later (is not possible to arrive before the starting date of your contract). To be able to give you a warm welcome at your SSH residence, we have set dates and times during which you can arrive. After you have booked a room you will receive more information on how to register for an arrival date and time. Please note that you cannot arrive at your SSH residence outside these dates and times, so please arrange your travel plans accordingly.

How does the booking process work?

Registration:

1) Fill out the registration form as soon as it opens up for your educational institution (see dates above) via https://booking.sshxl.nl/registration. The registration for our Short Stay housing is free.

2) During the registration process you can choose between different registration periods, depending on your student type. These start and end dates are corresponding to the start and end date of the contract. Keep in mind that your rent is due for the entire period, regardless of your actual arrival or departure.

3) After you click on “Register” you will receive an email from us asking you to validate your e-mail address. Please make sure to do so within the time-frame mentioned in that email. Did you not receive an email? Please check your SPAM folder to see if you received it there.

Approval:

3) Once completed, your registration will be send for approval to your contact person at the university. This happens automatically as soon as you click the “Register” button. Usually registrations are approved within 1-3 working days. You will receive a confirmation email from our system as soon as your registration has been approved.

4) After you have been approved, you will be able to see all available rooms for you specifically when you log into your SSH account. The rooms are filtered based on the information you provided in the registration form. Keep in mind that rooms are available to everyone, so it can be that certain rooms ‘disappear’ when you log in. This means that those rooms are not available to you based on the information you provided in your registration form.

Booking a room:

5) Each room will have a description of the facilities in the building, inventory list and other useful information. You can browse through the different tabs (“Room”, “Unit” and “Building”) Once you have found your ideal room, you can make a pending reservation for it by clicking on the “Reserve” button. This “Reserve” button might be grey at first, but will turn purple (clickable) after the booking of the rooms has opened up for your student type (see dates above). If you register right away, it means that you have about a week to look through the different rooms and see which ones you are interested in.

6) As soon as you have made a pending reservation by clicking the “Finalize reservation button”, you have 24 hours to confirm it by agreeing to the contract, the Terms & Conditions, and by paying the required down payment. The down payment consists of the first and last month’s rent, a reservation fee and any additional packages you’d like to order. The exact amount depends on the rent of the room you would like to book and the start and end date of your contract. Please keep in mind this down payment can only be made via credit card.

7) When you have confirmed the reservation successfully, our system will send you a notification that your reservation has now become definite. As soon as you have received this, you’ll just have to wait until you can arrive at your SSH residence. Frequently Asked Questions

Q: During my registration I am being asked to fill out the name of my home university, but I don’t have one. What to do?
A: You may fill out the name of your current educational institution. If you are currently not attending one, you may fill out ‘not applicable’.

Q: I have registered via the website, but my registration has not yet been approved. What to do?
A: Once you have registered with us, we have to wait for the approval from your university before you can proceed with making a reservation. If this approval is taking longer than 3 working days, we advise you to contact the university and inform why your registration has not yet been approved.

Q: I have registered and been approved by my university, but now I cannot see certain rooms when I am logged in. If I log out I see more rooms for rent. What is going on?
A: Not all rooms we have on offer are available to every student, it depends on your registration dates, educational institution and student type (bachelor, master, exchange, PhD etc.) which rooms are available to you. So please book a room that is visible when you are logged in. If it does not show any rooms anymore, it means that we do not have any accommodation on offer for you, and we would advise you to look for a room elsewhere.

Q: What payment do I need to make to confirm my room reservation?
A: To confirm your reservation with us, you will need to make a down payment within 24 hours after you have reserved a room. The down payment consists of your first month’s rent + your last month’s rent + non-refundable reservation fee + (if applicable) a bedding package (€50,-). The exact amount depends on the rental price of the room and your registration period. This payment has to be made through the payment link in the system and can only be made via a credit card transfer. Keep in mind that you will not need to pay rent again for the two months you pay in advance.

Q: I have reserved a room, or I am in the process of making a reservation, and I would like to have insight in my rental agreement and Terms and Conditions. Where can I find this?
A: During the last step of making a reservation, the contract and Terms & Conditions will be presented to you online. You can read these documents and agree with them by pressing the accept button. By accepting the contract, you automatically sign the rental agreement. This is a digital signature. Once your reservation is finalized by paying the down payment, you will be able to find the documents on your personal ‘My SSH’ page. Login to your ‘My SSH’ account, and go to ‘My Contracts’.

Q: Can I arrive a few days prior to the start of my contract?
A: Unfortunately we have to inform you that it is not possible to arrive before the start date of your contract. Your room will be available from 2 PM onwards on the starting day of your contract. Do you arrive before that date? Then please arrange accommodation in for example a ho(s)tel until you can arrive at your SSH residence.
