General – Definitions of terms
0.1 (International) Students: are (A) students who are enrolled in a bachelor programmes at Tio University of Applied Sciences with the intention of obtaining a degree, (B) exchange students who temporarily take courses at Tio University of Applied Sciences Utrecht with the intention of having their results recognized by their home universities, (C) approved students who may temporarily use a vacant room.
0.2 Exchange, bachelor and approved students are hereinafter called students.
0.3 SSH: the Short Stay department of SSH who perform the Intermediary services for temporary accommodation.
0.4 Contact person: a representative of Tio who arranges temporary accommodation through SSH.
0.5 Application: the online request made via www.sshxl.nl/shortstay.nl for the accommodation of one specific student for a fixed period of time (see 1.3) hereinafter shall be called application.
0.6 Term of residence: the period between arrival and departure.
0.7 Accommodation: a fully fitted and furnished room or apartment that is not self-contained, and in most cases has communal cooking facilities and sanitary fittings, hereinafter shall be called accommodation.
0.8 Rental period: the period during which student and lessor have agreed to rent (out) accommodation.
1. Basic principles
1.1 SSH Short Stay aims at maintaining a good price-quality ration of their furnished accommodation.
1.2 SSH Short Stay acts as intermediary in finding temporary accommodation for international students.
1.3 The brokered tenancy agreements are for a fixed period of time only.
The fixed rental periods exchange students can apply for are:
semester I 15 July 2011 – 13 January 2012
semester II 14 January 2012 – 15 July 2012
semester I+II 15 July 2011 - 15 July 2012
The fixed rental periods approved students can apply for are:
semester I 15 July 2011 – 13 January 2012
semester II 14 January 2012 – 15 July 2012
The fixed rental periods bachelor students can apply for are:

1.4 Cancellation after commencement of the rental period is not permitted, except for cases provided for by Article 3.5.
1.5 A non-refundable down-payment of rent is required before accommodation can be guaranteed. The following rules apply.
- European students: the first rent payment (first and last month’s rent) has to be received by SSH before arrival. At the same time an administration fee for the accommodation needs to be transferred to Tio. The fee for 2011/2012 is € 175,-. The student is to transfer this fee before 15-08-2011 (first semester) or before 20-12-2011 (second semester) into the bank account of Hogeschool Tio, mentioning the student’s name and “mediation costs SSH”. The details of the bank account are:

Without receipt of the full down payment and administration fee, keys cannot be handed over.
- Non-European students with MVV: the full rental payment will be automatically transferred to SSH by Tio University of Applied Sciences upon notification that the MVV has been issued. The rental costs, including the registration fee of € 175,- are deducted from the transferred amount required for the visa application.
NOTE: all students receive an automatic notification that asks to pay the down payment within two weeks. For visa students (with MVV) the e-mail may be deleted, as Tio will pay the full rental costs upfront!
- Non-European students without MVV: the full rental payment will be automatically transferred to SSH by Tio University of Applied Sciences before arrival in the Netherlands. The rental costs, including the registration fee of € 175,- are deducted from the transferred amount required for the visa application.

2. Conditions for students
2.1 Students have to register on-line via www.sshxl.nl/shortstay. Correct registration is always the student’s responsibility.
2.2 Applications may only be submitted for a prescribed fixed period of time (see article 1.3).
2.3 The Tio contact person will review the on-line application as soon as possible after the student’s application and authorize the application if it is approved.
2.4 After authorization the student can log in to SSH’s on-line reservation programme to reserve accommodation.
2.5 The student will receive a Confirmation of Accommodation e-mail from SSH.
2.6 Reservations only become definite once a Confirmation Accommodation has been sent by e-mail by SSH and SSH has received the full non-refundable down-payment (see 1.5).
2.7 After SSH has sent the Confirmation Accommodation, cancellation of the rental period is not permitted, except for cases provided for by Articles 3.5.
2.8 The Tio contact person has the right to withhold the student the certificate (exchange students) or the degree (bachelor students) to obtained from Tio when the student has not fulfilled the payment obligations to SSH.
3. Cancellation policy
3.1 If the student cancels accommodation after having received a definite confirmation as referred to in Article 2.5 and before the non-refundable down payment has been made, the student will charged with an amount equal to the down payment and will be charged with € 100,- cancellation costs, irrespective of the reason(s) for cancellation.
3.2 If the student cancels accommodation after having received a definite confirmation as referred to in Article 2.5, and after the non-refundable down payment has been made but before commencement of the rent period, the student will not be refunded the down payment, irrespective of the reason(s) for cancellation.
3.3 If a student fails to show, rent for the number of months that the room was reserved for will be charged to the student. In case of an exchange student, the home institution will be informed and asked to assist in retrieving payment.
3.4 Cancellation after commencement of the rent period is not permitted (except for cases provided for by article 3.5).
3.5 In exceptional cases a cancellation after the date of commencement is allowed, but only after approval by Tio University of Applied Sciences. Exceptional cases are: termination of studies resulting in definitive departure from the Netherlands caused by (i) death, sudden serious illness or a serious accident of the student or first/second degree family members, or (ii) the unforeseen refusal to grant visa or withdrawal of the student’s residence permit (if required) by the proper authorities, resulting in termination of studies and definitive departure from the Netherlands.
3.6 A claim for cancellation needs to be made through the contact person at Tio. Each claim is assessed individually. In case of circumstances as described in 3.5, and if approved by Tio University of Applied Sciences, cancellation is permitted as per the first day of the month and with one month’s notice. Rent which has already been paid will not be refunded.
4. The following House Regulations apply once the rental agreement between the Student and SSH is established
4.1 Students are responsible for cleaning their own room/apartment. If you wish, SSH can arrange a cleaning company to take care of the cleaning for you. SSH or the cleaning company will charge you for this service.
4.2 It is not allowed to keep pets. SSH does not guarantee that no pets are kept in mixed SSH and Regular SSH residences.
4.3 Smoking is not allowed in any of the accommodations that are dedicated SSH units. This applies both for individual rooms as communal areas.
4.4 The maximum period a guest can stay over in the student’s accommodation is 3 nights. After this period the guest needs to find his/her own place to stay. If it is determined that a guest has remained with the student longer than 3 nights, the student is fined with an extra month of rent to be paid immediately upon written notification by SSH.
4.5 The student is responsible for any damages or costs caused by the guest.
4.6 It is not allowed to sublet the accommodation to a third party.
4.7 According to the Dutch fire regulations the hallway and passages must be kept clear at all times. Therefore bicycles or any other objects that obstruct entrances or exits will be removed instantly (you will be charged for all costs made).
4.8 It is not allowed to make (mechanical) noise after 22.00 h.
4.9 Unless otherwise indicated, it is not permitted to apply posters, paintings or other items on the wall by making any holes, using stickers or other adhesives that affect the appearance of the room. Any decoration of the room by means of wall-paint, floor paint or other materials that affect the appearance of the room is not permitted.
4.10 Any costs deriving from damage to the accommodation, the undoing of refurbishment or other changes made to the room will be charged to the student with an extra fine of € 100. The Tio contact person has the right to withhold the student the certificate (exchange students) or the degree (bachelor students) to obtained from Tio when the student has not fulfilled these payment obligations to SSH.
